Exer Urgent Care’s Card on File Policy

Exer has a mandatory Card on File policy designed to streamline our billing processes and ensure prompt payment for services rendered. In addition to collecting all Co-Payments at time-of-service, Exer requires patients* to leave a card on file to pay for any future balances they’re responsible for from the care received at our clinics.

After each visit, Exer submits insurance claims to patients’ insurance carriers for processing. Once an insurance carrier has processed a claim, both the patient and Exer will receive an Explanation of Benefits (EOB) detailing the patient’s financial responsibility for their visit. If the EOB indicates a patient-owed balance, the patient will receive an email notifying them their card on file will be charged in 10 calendar days for the balance due. If the EOB indicates no patient-owed balances, the patient’s card on file won’t be charged.

Self-Pay patients’ cards on file will only be charged for any balances not paid in-full for care rendered during their visit.

*The only patients excluded from the mandatory Card on File policy are patients experiencing a medical emergency, patients with Medicare or Medi-Cal insurance coverage, and patients seen for Occupational Medicine or Workers’ Compensation services.

Why does Exer have this policy?
Most patients have an insurance plan with a high deductible, co-payment, or co-insurance which results in higher out-of-pocket costs for patients. Our Card on File policy streamlines the billing processes for collecting these out-of-pocket expenses and allows our team to concentrate on providing exceptional patient care.
How does Exer keep my payment information secure?
Exer adheres to strict PCI compliance standards. All payment card information is saved to a tokenized, encrypted platform. Patients’ card information isn’t accessible to our staff, nor is it saved on our clinic’s systems or devices.
How do I know what will be charged to my card on file?
Patients will be charged for the amount specified on their Explanation of Benefits (EOBs) minus any payments made at time-of-service up to $500. Additionally, 10 days before their card is charged, patients will receive an email notifying them of their balance due and the date their card will be charged. Any additional payment responsibility balances will be billed separately.
I have Secondary Insurance coverage. Why do I need to leave a card on file?
While some secondary insurance plans cover patient-owed balances in full, this is not true of all plans. Exer will bill patients’ secondary insurances, and if the secondary coverages pay for the patient-owed balance in full, patients’ cards on file won’t be charged.
What if I have questions about my owed balance or need to dispute a charge?

I always pay my bills on time. Why do I need to leave a card on file?
To ensure consistency and efficiency in our billing process, this policy is uniformly applied to all* patients.
What if I don’t have a Credit Card?
While Exer accepts all major credit cards (AMEX, Discover, MasterCard, Visa), in leu of a Credit Card, Exer also accepts Debit Cards, Health Savings Account cards (HSA), Health Reimbursement Account (HRA) cards, and Flexible Spending Account (FSA) cards.
